  • Executive Assistant

    Madison Main Street Program (“MMSP”) is seeking to hire an Executive Assistant to work for its Executive Director. This Executive Assistant will be responsible for a broad range of office duties. The position requires initiative, good judgment, independent thinking, and decision-making skills. The candidate should also possess exceptional customer service skills. The ideal candidate would possess knowledge of Madison's downtown, history, and resources or an enthusiasm to build that knowledge. The person in this position must project warmth and enthusiasm towards internal and external visitors. The person will also have the opportunity to participate in events produced by the Madison Main Street Program.

     

    The Madison Main Street Program (“MMSP”) is seeking to hire an Executive Assistant. The Executive Assistant will report to the Executive Director and work 20 hours per week for $12-$15 an hour depending on experience. The Executive Assistant will work in the MMSP office with a regular schedule. The Executive Assistant will be responsible for a broad range of office duties, this will include collecting and organizing mail, acting as the receptionist, organizing meetings, maintaining the Executive Director’s schedule, sending reminders, and drafting memos or emails. Other duties include minor accounting duties and data entry, prioritizing emails, returning phone calls, and confirming scheduled meetings.

     

     

    Responsibilities

    • Act as a receptionist and greet guests and visitors, including providing direction to resources, answering basic questions about the Madison Main Street Program and downtown businesses and activities
    • Sort and organize mail
    • Provide administrative assistance, such as writing and editing e-mails, drafting memos, preparing communications on the Executive Director’s behalf
    • Maintaining a contact database that includes businesses, volunteers, and other organizational contacts
    • Performing minor accounting duties
    • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
    • Answering phone calls and/or returning voicemails in a polite and professional manner
    • Managing the Executive Director’s calendar, including making appointments
    • Identifying and recommending administrative efficiencies and process improvements to the Executive Director
    • Perform data entry and maintenance of contact database with a very high level of accuracy and confidentiality
    • Keeping office tidy

     

    Qualifications

    • Good time management and ability to meet deadlines
    • Excellent written and oral communication skills
    • Strong organizational skills and ability to multitask
    • Work experience in an office or at another non-profit
    • Strong problem-solving and decision making
    • Proactive, self-starter
    • Interpersonal skills interacting with the public
    • High School graduate/GED or equivalent work experience
    • Very strong level of proficiency in Microsoft Office Suite (particularly Word, Excel, and Powerpoint)
    • Knowledge of QuickBooks, Canva, SurveyMonkey are a plus
